PS to Managing Director – Delta Pharma Ltd. – Dhaka

Job Responsibilities
Maintaining all appointments, meeting schedules and business tours, and all secretarial tasks such as preparation of the draft, office notes, meeting schedule, appointment scheduling, etc. of the Managing Director and updating regularly.
To coordinate, attend and take minutes for the Managing Director’s meetings and any other relevant meetings.
Preparing meeting minutes and other secretarial notes on different issues concerning the Managing Director.
Reminding the Managing Director of important tasks and deadlines.
Notifying the Managing Director of upcoming events and formulating necessary files, reports & documents.
Arranging protocol service, visa, air ticket booking, and hotel reservations, preparing travel budget, and preparing travel itinerary-related activities of the Managing Director according to pre-schedule.
Contact all outsiders on behalf of the Managing Director through email and phone calls.
Screening and taking notes from all telephone/mobile calls of the Managing Director and conveying information.
Following up on actions on pending important issues.
Reminding the Divisional & departmental head/Executive of important tasks and deadlines.
Checking email and maintaining replay.
Maintaining confidential Papers, files, and agreements.
Communicate with concerned Govt. and non-Govt. organizations for any documentation purpose.
Maintaining and updating a database for all communication of the Managing Director.
Record and distribute minutes of meetings
Take administrative measures required by Managing Director. Correspond and coordinate with other departments and outside agencies;
To prepare all reports, presentations, writing speeches, memos & seasonal greetings. and documents as required by the Managing Director.
Maintaining personal and business files of the Managing Director.
Prepare, disburse, receive and follow up on all official letter(s), and report(s) related to the Managing Director.
Compile different reports, summarize and submit to Managing Director as per requirement.
To maintain a database of different information, reports, address, contact number, etc.
Prepare official documents both in Bengali and English as and when required.
Provide secretarial service to the Board members & EC members as and when required.
Getting the files & documents signed & approved by the Managing Director.
Monitoring, supervising, collecting & compiling the tasks generated by the decision & instruction of the Managing Director & then submit those to the Managing Director.
Any other secretarial tasks relevant to this role given by Managing Director from time to time

Educational Requirements
Masters degree in any discipline, Master of Business Administration (MBA)
Skills Required: Air Ticketing and Visa processing., communication skill, Minutes, Personal Secretary, Report Writing

At least 5 year(s)

Personal Secretary, Secretarial tasks

Additional Requirements
Age 30 to 35 years
Both males and females are allowed to apply
No need to apply who have less than 05 (five) years of experience in the relevant area.
Experience in a similar position will be added advantage.
Should have working experience in performing all kinds of secretarial work of the top management of an organization.
Coordinate with management team & other departments as per requirement.
Must be organized, self-motivated, professional and Service-minded.
Must have Positive work ethics and result oriented for assigned responsibilities & honest.
Must have excellent communication in English (Written & Verbal) and Interpersonal & management skills.
Should have the mentality to work after office hours & also during holidays (will be compensated as per company rules)
Having experience to deal with the high level employees, shareholders, Directors, and other Govt. officials will be accepted as an additional qualification.
Efficiency, flexibility, high level of professionalism and ability to work under pressure.
Must have sound knowledge of computer applications.
